A bout the Role
Para el Barcelona Digital Hub , buscamos una persona Assistant altamente organizada, proactiva y orientada al servicio, que proporcione soporte administrativo, organizativo y operativo tanto al Country IT Head como al Regional IT Head , así como apoyo transversal a los equipos del Hub.
La posición es clave para el buen funcionamiento diario del Hub, facilitando la coordinación, la comunicación y la eficiencia operativa de los equipos digitales (GDD, GIT, GIS, GOT).
Key Responsibilities
Executive & Administrative Support
- Soporte directo al Country IT Head y al Regional IT Head :
- Gestión de agendas complejas y coordinación de reuniones.
- Preparación de presentaciones, documentos y materiales de soporte.
- Seguimiento de acciones, tareas y compromisos.
- Gestión de correspondencia, comunicaciones internas y coordinación con stakeholders internos y externos.
- Apoyo en tareas administrativas generales (POs, aprobaciones, solicitudes internas, etc.).
- Organización y gestión integral de viajes individuales y grupales para los miembros del Hub Digital (GDD / GIT / GIS / GOT):
- Reservas de vuelos, hoteles y transporte.
- Coordinación de viajes internacionales y cumplimiento de políticas corporativas.
- Gestión de cambios, incidencias y reembolsos.
- Apoyo logístico a reuniones offsite, workshops y encuentros internacionales.
- Soporte a tareas de facility management del Barcelona Digital Hub:
- Coordinación con proveedores de servicios (oficinas, mantenimiento, catering, etc.).
- Gestión de accesos, puestos de trabajo y necesidades logísticas.
- Apoyo en iniciativas de mejora del espacio de trabajo y experiencia del empleado.
- Organización de eventos internos del Hub:
- Townhalls, workshops, sesiones de equipo, eventos corporativos y de engagement.
- Coordinación de onboardings para nuevas incorporaciones:
- Preparación logística.
- Coordinación con HR, IT y Facility.
- Asegurar una experiencia de bienvenida fluida y profesional.
- Apoyo a iniciativas de cultura, comunicación y comunidad del Hub.
- Apoyo en la coordinación entre áreas del Hub y otras funciones corporativas (HR, Finance, Procurement, IT global, etc.).
- Soporte en la gestión y mejora de procesos administrativos y organizativos.
- Mantenimiento de documentación, listas de contacto y repositorios del Hub.
- Formación profesional o universitaria en Administración, Gestión, Asistencia Ejecutiva o similar.
- Experiencia previa (mínimo 2–3 años) en roles de Assistant , Executive Assistant o soporte administrativo en entornos corporativos.
- Experiencia en gestión de viajes, organización de eventos y soporte a directivos.
- Dominio de herramientas Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint).
- Nivel alto de inglés (oral y escrito). Español imprescindible.
- Alta capacidad de organización y priorización.
- Excelentes habilidades de comunicación y trato interpersonal.
